2026 Information Return Filing Checklist

A filing-season checklist for teams preparing 1097, 1098, 1099, 3921, 3922, 5498 and W-2G returns for the 2027 filing season.

Phase 1

Before January

  • Confirm which forms your organization expects to file.
  • Collect missing W-9 or other payee data.
  • Review TIN/name quality and protect leading zeros.
  • Confirm IRIS TCC and authorized-user access.
  • Reconcile source systems and identify unusual transactions.
Phase 2

Recipient statement prep

  • Confirm the statement deadline for each form.
  • Review addresses and electronic-furnishing consent requirements where applicable.
  • Generate recipient copies from the same controlled data used for filing.
  • Preserve evidence of timely mailing or electronic furnishing.
Phase 3

IRIS file prep

  • Use the current CSV layout for the exact form and tax year.
  • Reconcile record counts and money totals again.
  • Run the final CSV through the validator.
  • Split files if your workflow needs smaller batches.
  • Do not edit the file casually after final validation.
Phase 4

Submit & verify

  • Upload through the intended IRIS workflow.
  • Save the submission confirmation and acknowledgement.
  • Review Accepted, Accepted with Errors, Rejected, or Processing status.
  • Assign unresolved records to a named person for follow-up.
Phase 5

Corrections & archive

  • Use the correction workflow only for accepted returns.
  • Use rejection recovery for rejected transmissions.
  • Furnish corrected recipient statements when applicable.
  • Archive source, output, acknowledgement and correction history.

Build the filing file once.

The cleanest workflow is to maintain one controlled source, generate recipient copies and the IRIS upload from that source, validate the final exported file, and preserve the acknowledgement. Re-keying information between disconnected spreadsheets increases the chance that the recipient copy and IRS filing will disagree.

When should I start preparing 2026 information returns?

Start before January. Year-end payee cleanup, W-9 collection, TIN review, account reconciliation and IRIS access checks are much easier before recipient-statement deadlines are close.

What should happen before recipient copies are furnished?

Confirm the correct form, tax year, recipient identity, address, amounts, codes and any form-specific dates or indicators. Keep a copy of the exact data used to create the statement.

What should happen before the IRIS upload?

Reconcile final totals, export the current CSV layout, validate the final CSV, confirm IRIS access, and record who owns the submission and acknowledgement review.

What should I save after filing?

Keep the submitted source file, acknowledgement/status record, recipient-copy evidence, correction history and internal reconciliation according to your record-retention policy.

What if the filing cannot be completed on time?

Use the extension helper before the deadline. Filing extensions and recipient-statement extensions are separate procedures.
