Why collect W-9 information during onboarding?

Form W-9 is designed to give the requester a U.S. payee's taxpayer identification number and certifications. The operational advantage is simple: when the request happens at onboarding, the payer can resolve missing or unclear information while the business relationship is active rather than trying to reconstruct it during filing season.

A strong process separates three ideas: collecting payee-supplied information, checking the local data for completeness, and verifying an eligible name/TIN combination through IRS TIN Matching. These are related but not interchangeable steps.

What to capture from the payee record

Keep the legal/payee name, business or disregarded-entity information when applicable, TIN, federal tax classification, exemption codes when supplied, and mailing address in a controlled master record. Preserve the information exactly enough that the filing file and recipient statement can be generated consistently.

Spreadsheet warning: TINs should be treated as identifiers, not numbers used in calculations. Leading zeros, scientific notation, and decimal conversion are common spreadsheet problems.

Do not use W-9 as a substitute for every tax form

Form W-9 is for U.S. persons. Foreign payees can require a Form W-8 series certificate instead. The correct withholding certificate depends on the payee and payment. A vendor-onboarding workflow should therefore include a decision point rather than assuming every vendor receives a W-9.

Likewise, the existence of a W-9 does not by itself determine whether a particular payment must be reported on Form 1099-NEC, 1099-MISC, or another information return. Use the current information-return instructions for the actual reporting decision.

What to do after a W-9 is received

Review the record for completeness, place the data in the secure payee master, and note the receipt date. Before filing, use local cleanup to find formatting problems and consider IRS TIN Matching if the payer and return type are eligible. If an IRS CP2100 or CP2100A notice later identifies the name/TIN combination as incorrect, switch to the B Notice workflow rather than repeatedly sending ordinary W-9 reminders.

What does a requester do with Form W-9?

The requester generally keeps Form W-9 in its records and uses the supplied information for applicable information reporting. The W-9 itself normally is not filed with the IRS.

Can a substitute W-9 be used?

IRS requester instructions allow acceptable substitute forms if required certifications are presented properly and unrelated agreements are not tied to the required certifications.

Can a vendor write 'Applied For'?

The requester instructions describe an awaiting-TIN certificate for certain interest, dividend and readily tradable instrument payments, but the 60-day rule does not generally extend to payments such as nonemployee compensation.

What should I do if the vendor is foreign?

Form W-9 is for U.S. persons. Review the applicable W-8 series and withholding rules for foreign payees.

Should I use TIN Matching after collecting W-9s?

If your payer and form are eligible, IRS TIN Matching can be a valuable pre-filing step because it checks the name/TIN combination against IRS records.
