When a charity needs Form 1098-C
Form 1098-C, Contributions of Motor Vehicles, Boats, and Airplanes, is generally associated with donations of qualifying vehicles for which the donor claims a value above $500. A charitable organization must distinguish the donation event from what happens afterward: it may sell the vehicle, make significant intervening use, materially improve it, or meet another exception. These facts affect the acknowledgment information.
Under IRS guidance, a donation valued at $500 or less is generally not filed on Form 1098-C, although a charity may use Copy C as an acknowledgment when the relevant rules are satisfied. Review the IRS instructions rather than assuming every donated vehicle produces a 1098-C filing.
Three source records to reconcile
1. The donation and donor record
Capture the date received, donor identity and TIN, and the vehicle's year, make, model and vehicle identification number or other identifying number. VIN mistakes frequently originate when an office copies data from handwritten intake records. Compare it against the title or transfer document.
2. The disposition or use record
For a qualifying sale, retain the sale date, the gross proceeds and the relevant certification details. For significant use, material improvement or other applicable categories, document the facts supporting the statement. Do not substitute a donor's estimated value for gross sale proceeds.
3. The donor acknowledgment
The acknowledgment is time-sensitive. The IRS instructions generally describe a 30-day period measured from the sale for a qualifying sale acknowledgment, or from the contribution for certain other certifications. The donor copy and the IRS filing should reflect consistent facts, but recipient delivery and submission are separate obligations.
Preparing a clean Form 1098-C import
Use one row per reportable Form 1098-C, with a consistent donor identifier and fields that map to the current-year reporting requirements. Before importing, check empty VIN fields, duplicate vehicle identifiers, conflicting dates, and missing sale/disposition classifications. Avoid uploading real donor records to a public spreadsheet converter or sending them by ordinary email.
With 1098-C software, the intended desktop workflow is to organize supported CSV or Excel source data, review recipient information and prepare IRS filing output. Confirm the current installer and supported form layout before relying on it for production filings.
Software versus having ERICH file for you
If your organization wants control over its own source file and IRS submission, use the software workflow and complete submission through an authorized IRS channel. If you would rather have a filing service prepare and transmit eligible returns, review We E-File for You. A private upload invitation is issued after ERICH confirms the engagement and authorization; do not email tax files directly.
